Preparing your PDFs

If your pdf contains any custom pre-linked items please let us know so we can handle the file properly during processing and preserve your links. Please also be sure to inform us at the time of upload of any custom linking or special instructions. Remember that all urls, email addresses, and page references will be automatically linked through our system and do not need to be embedded as links in your pdf.

Uploading Files

The Publisher Dashboard allows you to upload and manage your files, check the status of a document, preview documents, edit links and table of contents, as well as upload and place media elements. Once your domain is set up, we will provide you access to your Publisher Dashboard account.

Turnaround Time

The complete set of final pdf pages for a particular document are uploaded via the Publisher Dashboard and the ‘Begin Conversion’ button signals the files are complete and digital production can begin. Once pdfs have been processed, GTxcel will generate a Staging Proof of the document within our standard turnaround of 3-5 business days (5-7 on new collections), and provide a link to the Staging Proof for you to review.

The Staging Proof allows you to review the digital edition of each document before it is published live. Items reviewed should include all interface buttons, TOC entries, links, and article text (if applicable). During the proofing stage, you have the opportunity to add/edit/delete links, TOC entries, and article text as well as add multimedia via the Publisher Dashboard.

Once you are comfortable with the status of the document, you will use the Publish tool in the Publisher Dashboard to schedule the document to publish. Keep in mind that the publishing process begins at the time you schedule the document to publish, the document will not be live at that selected time. 

*Note: If your collection is set up with Subscriber Managed access controls, make sure that your subscriber list has been uploaded before the schedule publish date so that immediate access is given.


All user interface features (Share, Print, Download, Website Indexing/Search Engine Spidering, etc.) are customizable and can be turned off or on depending on your preferences. These can easily be changed throughout the process.


Once your first digital document is LIVE, GTxcel has access to your app developer sites (Apple and Google Play) and all of the required assets provided, we will build and submit your app. The approval at Apple/Google Play can take up to 2 weeks.
